Overview
The DFM Agency ("DFM," "we," "us," or "our"), also referred to as Digital Footprint Management, respects your privacy and is committed to protecting the personal information and business data you entrust to us. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our websites, use our online platform, mobile application, and AI-powered tools, or otherwise interact with us (together, the "Service").
It applies to subscribers and their authorized users, and to visitors to our websites (digitalfootprintmanagement.com, thedfmagency.com, and app.thedfmagency.com), including people who request a free digital footprint audit, contact us, or use our forms.
This Privacy Policy is part of our Terms of Service. If you do not agree with it, please do not use the Service.

Your customers' data
Subscribers use the Service to manage information about their own customers, leads, and reviewers, such as CRM contacts, conversations, review requests, and survey responses.
For that information, the subscriber is the business responsible for the data, and DFM acts as its service provider (processor). We process it only on the subscriber's instructions to provide the Service. If you are a customer of one of our subscribers and have questions or requests about your information, please contact that business directly. If you contact us, we will direct your request to the relevant subscriber where appropriate.
Subscribers are responsible for having a lawful basis, and any required notices and consents, for the information they upload or collect through the Service, including consent to send marketing emails or text messages.
Text messaging
The Service includes tools that let subscribers send text messages, such as review requests, appointment messages, and campaigns. DFM may also send service-related text messages to our own subscribers.
- Consent: text messages are sent only to people who have opted in, as required by law and by carrier rules. Consent to receive texts is not a condition of any purchase.
- Your information: mobile phone numbers and text messaging opt-in data and consent are not shared with third parties or affiliates for their marketing or promotional purposes. We share them only with the service providers and carriers that deliver the messages.
- Opt out: reply STOP to any text message to stop receiving messages. You may receive one final message confirming your request.
- Help: reply HELP for assistance, or contact us at contactus@digitalfootprintmanagement.com.
- Costs: message and data rates may apply. Message frequency varies by sender.
Website chat
Our websites include a chat assistant that answers questions about our services. It is powered by AI, and you are not chatting with a person unless the chat says so.
- What we collect: the messages you send and any contact information you choose to share, such as your name, email address, or phone number. If the assistant asks for your contact details, sharing them is optional.
- How we use it: to answer your questions, follow up with you about your request, and improve the chat. Conversations are stored and may be reviewed by our team.
- Who processes it: the chat is provided in part through a service provider that processes this information on our behalf under the terms described in How we share information.
- Marketing: we will not add you to marketing emails or text messages unless you have agreed to receive them.
Please do not share sensitive information, such as payment card numbers or government ID numbers, in the chat.
AI features
Some parts of the Service, such as content suggestions, review replies, and conversation assistants, are powered by AI. When you use them, your inputs and the resulting outputs are processed to provide the feature, and may be processed by the service providers who power those features, under agreements that restrict how they use the data.
AI-powered features are provided in part through our service providers. Those providers process your inputs and DFM's resulting outputs to deliver the feature to you, and to maintain and improve the reliability of that technology. AI outputs can be inaccurate, so please review them before publishing or sending them.
Data retention
We keep information only as long as needed to provide the Service, meet legal obligations, resolve disputes, and enforce our agreements. User Content is kept for as long as your subscription is active and for a reasonable period afterward for backups or as the law requires. Audit and form submissions are kept for as long as needed to respond to you and for legitimate business purposes, unless you ask us to delete them sooner. You can request deletion as described in Your privacy rights, subject to legal exceptions.
Security
We use reasonable administrative, technical, and physical safeguards to protect your information, such as encryption, access controls, and regular security reviews. No system is completely secure, so we cannot guarantee absolute security. Please keep your login credentials confidential.
If a data breach affects your personal information, we will notify you and the appropriate regulators as required by law.
Your privacy rights
You can ask us to:
- Tell you what personal information we have about you.
- Correct inaccurate information.
- Delete your personal information, subject to reasonable exceptions (for example, information we need to keep for accounting or legal reasons).
We do not sell your personal information or share it for targeted advertising.
