It's automatically generated and delivered on a weekly or monthly schedule using data from the tools connected to your DFM account.

Accessing Your Report

  1. Open the Executive Report tab in your DFM menu bar.
  2. Use the date selector in the top-right to choose Weekly, Monthly, or a Custom date range.
  3. Navigate between sections using the category icons at the top or the dropdown navigation menu.
  4. To download or print your report, use the print icon in the top-right corner.

Sent between the 1st–3rd of each month. A 2–3 day processing delay is normal to ensure all data is complete.

Data Update Timing

  • Google Business Profile data typically shows within 5 minutes of connecting.
  • Newly added products may take up to 48 hours to appear in your next report.
  • Google Search Console data is pulled once per day (around midnight CST).
  • Advertising data updates every Sunday.

Frequently Asked Questions

Why didn't I receive my Executive Report?+
If there were no changes to your data, a report may not be generated. Only sections with new activity are included.
Can I choose a custom date range?+
Yes. Use the date selector in the top-right corner of the Executive Report tab to pick weekly, monthly, or a custom range.
How do I view past reports?+
Go to the Executive Report tab in DFM and use the date selector to view previous reports β€” they're archived automatically.
What if a section of the report is missing?+
Sections only appear when there's updated data. If a section is missing, no new activity was detected for that product during the reporting period.

Leads (Customer Relations)

The Leads section gives you a single view of all new leads and customer interactions your business is generating across every channel. In the report's navigation dropdown, this may appear as Customer Relations.

Lead Sources Tracked

Only organically captured leads are counted. Sources include:

  • Phone calls (Google Business Profile) β€” Calls from your listing
  • AI Voice Receptionist β€” Calls handled by the AI phone system
  • Web Chat β€” Website chat conversations that become leads
  • Forms β€” Contact form submissions
  • SMS β€” Text conversations that generate leads
  • Zapier β€” Leads from connected apps
⚠️ Excluded SourcesLeads added via bulk import or created manually in the CRM UI are not counted. To include a manually added contact, change its lead source to anything other than "bulk import" or "crm ui".

Frequently Asked Questions

How are leads different from conversations?+
Conversations are all customer interactions. Leads are interactions that result in a captured contact. One customer can have many conversations but count as one lead.
Why do message counts look higher than lead counts?+
Messages include every back-and-forth (first contact, follow-ups, support). Leads count new prospects only β€” one lead can have many messages over time.
I don't see any metrics in the Leads section β€” why?+
The report uses data from the last full period. Wait for the next weekly or monthly report. If contacts in your CRM have valid sources like "web chat" or "form," they'll be included next time.

Reputation

The Reputation section shows how your business is performing on reviews. The centerpiece is the Review Grade β€” a letter grade that gives you an at-a-glance summary of your online review presence compared to others in your industry.

How the Review Grade is Calculated

The grade is based on four areas, each compared to the industry average:

  • Average review score β€” Your typical star rating
  • Number of review sources β€” How many sites you're getting reviews on
  • Reviews found β€” Total reviews found for your business
  • Reviews per month β€” How many new reviews you're getting

Google Search Console in Executive Report

How to Connect Google Search Console

  1. Make sure you have a Google Search Console account with your website verified. Create one at search.google.com/search-console if needed.
  2. Go to DFM > Administration > Connections > Browse Integrations and find Google Search Console.
  3. Sign in with a Google account that has access to your Search Console property.
  4. Choose the property to connect β€” about 30 days of history is pulled in immediately.

Customize Which Queries Are Tracked

When you first connect, the top 10 queries by clicks are pulled in automatically. You can edit this list β€” add or remove keywords, up to 20 total β€” via Administration > Connections > Google Search Console.

MarketGoo

If you use MarketGoo, its data appears in the SEO section. MarketGoo data is sent monthly β€” you'll only see it when you select the Monthly date range. MarketGoo Lite accounts do not appear in the report.

I connected Search Console but don't see data yet β€” why?+
Data is pulled once per day (around midnight CST). After connecting, wait until the next day. New websites may have little data until organic traffic builds up. Check that data is showing inside Google Search Console itself first.
How is "Queries on 1st page of Google" calculated?+
Each day we count search terms where your site has an average position of 1.0–10.0 (first page) AND received at least one click in the last 30 days. Updated every 24 hours.
Do you support Domain properties in Search Console?+
Yes. Both Domain and URL-prefix properties can be connected. Domain properties are recommended as they include all variations of your domain (www vs non-www).

How to Connect Google Analytics

  1. Go to DFM > Administration > Connections > Browse Integrations.
  2. Find Google Analytics and click to connect.
  3. Complete the connection steps.
  4. Once connected, Google Analytics data appears automatically in the Website section of your Executive Report.

If you use Advertising Intelligence, the Executive Report includes performance summaries for your Google Ads and Facebook Ads in one place β€” with week-over-week or month-over-month comparisons so you can track ROI without switching between ad platforms.

How to Set It Up

  1. Ensure Advertising Intelligence is active on your DFM account.
  2. Connect your Facebook Ads and/or Google Ads accounts inside Advertising Intelligence.
  3. Open the Executive Report and choose a time period β€” the Advertising section will show performance for all connected ad accounts.
